Accounting Updates

  • Distribution Changes - Pending Status Persists Despite No Outstanding Approvals - A bug was preventing those Distribution Changes that had been saved as drafts first from changing their status to 'Completed' after the last step of the approval flow. 
  • Receive Payments - Submit does not happen successfully - We've addressed a bug in GSW's Accounts Receivable Receive Payments (RP) that previously hindered successful RP submissions. Users can now submit RPs without any disruptions. 
  • Invoices - PDF should show total as a positive value - We've resolved a bug in GSW's Accounts Receivable Invoices, which previously caused the PDF's total to incorrectly display as negative. Totals will now correctly present as positive. 
  • Check Requests - PDF's data errors in FF2 and FF3 - We've rectified a bug that caused discrepancies between the Check Requests PDFs and the corresponding forms in Free Field 2 and Free Field 3. Going forward, the data displayed on the PDFs will accurately reflect the data on the forms. 
  • Resolving Visibility Issue of 'Effective Date' Field in Transactions - A bug restricting the visibility of the 'Effective Date' field in the Summary panel, in the absence of administrator permissions. Additionally, all CGV will now be displayed by default in the grid, independent of any administrator permissions. 
  • Bank Accounts - Fixed a validation triggering for JP Morgan Bank Accounts. - A previous validation was stopping users from submitting Payment Files, Wires, and Manual Bill Payments when the Bank Account had JP Morgan selected and the Payment Number was alphanumeric. 
  • Vendors - fixed error causing problems with Vendors with auto-created PC Accounts - An error in the store procedure was stopping users from saving the Vendor with an auto-created PC Accounts when the Account Range included letters. 
  • Vendors - fixed error stopping users from creating Vendors when the CP Account starts with zero. -  There was an issue in the store procedure that was stopping users from submitting Vendors with auto-created CP Accounts when the Account range starts with a zero. 

Payroll Updates

  • Timecard grid - Added all overtime multipliers for Premium OT positions - Timecards for positions using Premium OT and On call (Premium OT) can now use overtime multipliers above 3x, allowing for more accurate grossing. 
  • Timecards Performance - Removed unnecessary checks - When a user submits a digital Timecard, we perform a check for missing tax forms. This check is no longer running when a user other than the payee is submitting the timecard, resulting in a performance improvement for approvers and grossers. 
  • Client-Facing Payroll - Filtered the Tax Credit Code options - The Tax Credit Code dropdown on the Start Form and Timecard now filters Tax Credit options based on the Accounting Project Settings, resulting in a more intuitive user experience. 
  • Timecards - SAG-AFTRA Stunt Adjustments - The Digital Timecard now supports SAG-AFTRA Stunt Adjustments. Users can input adjustment amounts and gross timecards with the expectation that the overtime rates on stunt days will be calculated and displayed properly. 
  • Timecards Actions - Permissions have been added to control "Copy From" - New user permissions now control the visibility of the "Copy From" action on the Digital Timecard, allowing select clients to restrict this functionality to key users. These permissions have been added to all user roles globally. 
  • Timecards PDF - Added a new comprehensive PDF download - The "Timecard Wrap Bundle" action allows users to download a merged PDF containing the Hours Timecard PDF, Gross Timecard PDF, Final Timecard PDF, and Check Copy PDF. This action, which facilitates project wrap-out, is located on the Timecards Weekly and Daily grids, and the All Batches grid. 
  • Timecards PDF - Updated the visibility of the Final PDF - Users unable to see the Timecard Grossing PDF can no longer see the Final PDF, providing a more cohesive experience around grossing data. 
  • Payroll Payments - Added the ability to Hide Paper Timecards - Two new flags allow Paymasters to mark a Paper Timecard as a "Bonus" or a "Termination" payment. These Paper Timecards are only visible via new permissions, except for their Payee, who can only see the matching records (Timecards and Payroll History) once the Payment has been processed. 
  • Timecards Weekly grid - Fixed a bug preventing Custom Grid Views from using the Account Code filter - It is now possible to create Custom Grid views that sort and filter Timecards by their Primary Position's Labor Account Code, allowing approvers and grossers to work more efficiently. 
  • Core Employee Position Profile - Box Rental and Per Diem now populate on Digital Timecards - The Box Rental and Per Diem rates set on Employee Positions without Digital Start Work are now defaulted on new Digital Timecards. This allows Canadian project Employees and U.S. Paper Employees to benefit from the same advanced functionality as Digital Employees. 
  • Timecards Weekly grid - Added a file naming convention for multiple Timecards downloads - A file naming convention has been added to govern the name given to a PDF containing multiple merged timecards or timecards with check copies, preventing this type of download from being mislabelled after a specific employee. 
  • Timecard grid - Column toggles are now displayed dynamically - A column toggle on a Digital Timecard is now only shown if the Contract Type in use allows it, resulting in a more dynamic and cleaner user experience for Employees, Approvers and Grossers. 
  • Loan Out - Associate User to Loan Out Company based on Global Employee Record - Enhancement has been made to allow associate User to Loan Out Company based on Global Employee Record to avoid having orphaned companies 
  • BPM file Hours: Merge multiple company files to a single file - Enhancement has been made to send a single file that includes all the information of data that were in separate files to eliminate manual manipulation of the files BPM receives.

  • New field ID has been added for Medcom Checkbox - New field ID has been added for Medcom Checkbox to allow users to save the identification (ID) of the parent company in the database ensuring all data in the system works correctly. 
  • State Tax WH Forms - Minnesota 2023 Digital - State Tax WH Forms - Minnesota 2023 has been updated to accomplish new requirements, adding new fields in the UI. 
  • State Tax WH Forms - Indiana 2023 Digital - State Tax WH Forms - Indiana 2023 has been updated to accomplish new requirements, adding new fields in the UI.

  • Timecard - Termination Flag 2 of 2 - Enhancement has been made to add the process that terminates an employee when a flag has been added on the Timecard page when the Timecard is saved. 
  • Employee Position - Add "MPIPHP Rate Group" field - Enhancement has been made in Employee Position adding "MPIPHP Rate Group" field to store the MPIPHP Rate Group value. 
  • TRNS report has been fixed - TRNS report has been fixed to correct the Advanced detail line re-sent in the TRNS, even though the check associated with the transaction was already voided. 
  • Require Box Rental or Per Diem CF enhancement - Require Box Rental or Per Diem CF enhancement has been made to prevent the user from submitting the start form without completing the custom form.
  • Timecard grid - Implemented validation to prevent a Timecard Day to be worked when its Day Type is Unworked - Users are now prevented from checking the "Worked" flag on a Timecard day after selecting an Unworked Day Type, avoiding bugs at later approval steps. 
  • Employee API - Added validations for Loaned Out Employees - Loan Out Companies without a name or with a Tax ID incorrectly formatted are now errored out to prevent incomplete records 
  • Timecard grid - Fixed a bug preventing the Day Total from recalculating properly - The Day Total on Timecard days now properly resets after manually editing a Rest Violation, preventing payout errors. 
  • Timecards PDF - Fixed an issue preventing the Total Amount from being displayed - Timecard PDFs for records that only contain breakout day type are now properly generated, ensuring that all downloaded records are complete and accurate. 
  • Employee Positions Grid - Divisions and Date of Birth columns are not displaying data Fix has been made to the Employee Positions Grid to display Divisions and Date of Birth data.
  • Sick leave policy is not able to be updated. - When creating a new Employee, after a policy has been assigned automatically to the employee, the Digital start work dropdown should allow to change the policies to any other available policy. Sick leave policy is not able to be updated. 
  • Incorrect Termination Date - Incorrect Termination Date issue has been fixed to ensure employees should be terminated if they do not receive payment in 30 days. 
  • Loan Out DSW - Allow users to view the Company page - Fix has been made in Loan Out DSW to allow users to view and edit the Company page when the user belongs to the same Company. 
  • Project Calendar - Error message is displayed - Fix has been made to Project Calendar to ensure these fields are always editable, so the values can be deleted without any error message being displayed. 
  • Start form and Employee Positions Grid - Adjust Pay and Scale Rate Column Format - Fix has been made to SF and Employee Positions Grid 
  • Adjust Pay and Scale Rate Column Format using 4 decimal points instead of 2 decimal points.

General Updates

  • Approval Flow Steps Grid - In the "Users of Approving Role" column, show user names only once. We were showing names twice or more, if a user had one or more roles in the Approving Roles column. With this change, we will only show each username once in the User of Approving Role column.
  • Rush Approvals - Persist 'Is Rush' status, even after the approval flow has been completed. Previously, the documents lost any "Rush' status indicator after the approval flow had been completed. We now persist the status even after the approval flow had been completed, to align with our client's requests, 
  • UI Updates to the grid's Actions Menu. This includes Several UI updates to the grid's Actions menu, such as: always showing the Delete option as the last one, adding icons to hyperlinks and the Delete action, removing the PDF icons, among others. 
  • Home page - Added new dashboard tiles for "Users" and "PCards". We've added two new cards to our home page, which show only if users have the appropriate permissions. These new cards link to the global "Users" grid and the "My PCard Envelopes" grid. 
  • Purchase Orders - Allow to update the Division even after the Approval Flow has been completed. Previously, we did not allow the Division field to be updated after the Approval Flow had been completed, except by using the "Move Documents" option. With this improvement, it will be possible to do this from the document's page, by simply changing the Division field. This was implemented for Purchase Orders, but will be in other document types with approval flows. 
  • EOR Quarter Report - Add a new column as 'Corporation Type'. This is required as an update for the EOR quarter report due to the update on the ADP quarter file. so that internal users are able to confirm and review data when they do their quarterly and annual reconciliations. 
  • Reorganized field layout in Hot Cost. The fields on the "Hot Cost" page were reorganized to have the Project and Date fields on the same line. Previously, these fields were stacked vertically, resulting in a significant empty space on the right side of the container. 
  • Accounting Reports - The report run date is showing in UTC time instead of Local time. The Run date in the reports grid and inside the report were showing in UTC time. It has been fixed so that they all show the local time for all accounting reports. 
  • Accounting Reports - Report monitor throws an error saying ' Error in Report Preparation'. PO numbers with more than 10 characters were causing errors in accounting report preparation.  It has been fixed so that PO numbers can now be more than 10 characters and the reports are generated as needed.
  • Accounting Reports - Filter not showing - The 'Zero amounts filter' was missing on Trial balance reports. A new filter "Show Lines" has been added in all Trial Balance Reports. This will show all lines including the zero amounts in the report. 
  • Accounting Reports - Multi budget Cost Reports - No filters were showing in the Accounting reports page for Multi budget Cost reports. These filters were disabled in GSA, hence we enabled them and now all the required filters are showing for the Multi Budget Cost reports. 
  • Accounting Reports - Multi budget Cost reports previously missed a filter - The 'Committed' filter was missing in the Multi Budget Cost report.
